Welcome to TRACS
Welcome to the TRACS Documentation Portal. TRACS is a dedicated networking CRM designed by the H7 Network to streamline, manage, and scale warm professional introductions.
Instead of relying on disorganized, text-heavy manual emails that get lost in translation, TRACS automates email workflows, tracks replies dynamically, and measures connection outcomes. It serves as your personal portal to turn casual networking handshakes into active, trackable partnerships.
Navigating the Dashboard
My Profile Settings
Your profile acts as your business card in the TRACS network. A detailed profile builds credibility when others receive your introductions. Update your details under Account Settings > My Profile.
Change Password
Protect your network data and your introduction history. Update your login credentials at any time under Account Settings > Change Password.
Make Introduction
The introduction module connects two professionals in your network. TRACS handles the email routing, appends signature info, and tracks response lifecycle.
Step-by-Step Guide
Choose a Template (Optional): You can optionally select from pre-made System templates or your own custom templates to auto-fill the draft, or write the email completely from scratch.
Introduction Messages (Inbox)
Once an introduction is sent, you are directed to the Introduction Messages (Inbox History) tab. This interface acts as your introduction command center, allowing you to track the lifecycle of your connection.
Auditing and Filters
- Filter status: Choose between All, Intros Received, Intros Sent, Needs Follow-up, and Archive.
- Sorting: Sort by latest or oldest connection threads.
- Search: Quickly search entries by Subject Line content.
Inbox Actions
- View: Opens chronological timeline thread to view responses from Person 1 and Person 2.
- Reply: Send an update using pre-made Reply-Email templates to keep the conversation going.
- Bump (Follow-Up): Send a quick reminder nudge to the participants. The "Bump" option is available *only* when there are zero replies in the thread.
My Contacts
Build your referral database in the My Contacts section. In addition to adding contacts manually, TRACS features a bulk import system so you don't have to input contacts one by one.
- Click the Download Template button to fetch the standardized CSV structure.
- Fill out your contact details (First Name, Last Name, Email, Company, Group Name) while keeping the original column header format intact.
- Click Import Excel, select the completed Excel/CSV sheet from your files, and upload it.
Email Templates
Standardize your referral communication using templates. Templates save time and maintain professional consistency across intros.
Placeholder Tags Syntax:
Use these exact tokens when creating templates. When introducing two people, they will be replaced dynamically:
Email Signature
Adding a custom HTML email signature block will append automatically to your outgoing messages, giving candidates quick references to your brand.
- Navigate to **Introductions > Email Signature**.
- Enter your Title, Phone number, and Company description.
- Save the signature. It will load by default inside the introduction email composings.
Journal Entries
The **Journal Entries** module serves as your personal networking log to keep track of meeting notes, classify relationship types, and record structured questionnaire feedback after meeting new contacts.
- Network Member Lookup: Click the "Select from Network Database" button inside the log creator to search H7 members, TRACS members, or contacts, and instantly auto-fill their names, emails, and company details.
- Quick Introductions: Click the "🤝 Make Intro" button on any connection log card to navigate directly to the Make Introduction page with that connection pre-selected as Person 1 (creating a contact dynamically in the background if they do not exist in the database yet).
- Mutually Exclusive Classifications: Classify connections as either a core connection profile (Classification 1: Connection) OR specific partnership categories (Classification 2: Referral Partner, Champion, Vendor, Prospect, Client). Selecting one unchecks and hides the other block automatically.
- Connection Questionnaire: Log how you connected, what they do, shared commonalities, how you helped them, did you introduce anyone (Yes/No dropdown triggers), and notes for next meeting if scheduling a second one-to-one.
- Search, Filter, & Manage: Audit your connections history list by keywords search, date met, or relationship category filters. Edit or delete logged entries at any time.
